Who is responsible

AXETEXA PRIVATE LIMITED is responsible for account administration, billing, security, support, compliance and operations. For board and meeting content controlled by an organisation, AXETEXA may act as that organisation's service provider or data processor.

Information we handle

We handle account information such as your name, email address, timezone and profile details. We also handle organisation, board and meeting information, including agendas, papers, minutes, actions, deadlines, governance records and audit history.

Where recording and transcription are enabled, we handle meeting recordings, transcripts and related consent records. We handle technical and usage information needed to operate, secure and improve the service, such as device, browser, diagnostic and access information.

Google Calendar

Google Calendar is optional. Aboardable requests the read-only scope https://www.googleapis.com/auth/calendar.readonly. It is used to list your calendars, let you choose which calendars to connect, show selected events beside your Aboardable meetings, actions and deadlines, and identify scheduling conflicts. Aboardable does not write to Google Calendar.

Calendar data is cached only while needed for an active connection. When you disconnect, Aboardable stops new calendar API requests, deletes cached Google event data, deletes stored access and refresh tokens, and attempts to revoke the Google authorisation where technically possible. You can also review or revoke third-party access in your Google Account connections.

We comply with the Google API Services User Data Policy, including its Limited Use requirements. We do not sell Google user data, and do not use it for advertising, credit decisions or surveillance.

How we use information

We use information to provide, secure, support and administer Aboardable, to deliver requested integrations, to maintain governance and audit records, and to meet legal obligations. We do not use customer board, meeting, document, transcript or Google Calendar content to train general-purpose artificial intelligence or machine learning models.

Service providers

Depending on the features and configuration used, providers may include Supabase, Vercel, Google, Resend, Anthropic, OpenAI, DeepSeek and Attendee. These providers process information to provide the relevant infrastructure, email, AI, calendar or recording and transcription service.

Recording and transcription are optional. The organisation and its authorised operators are responsible for giving notices and obtaining consents required by applicable law before recording or transcribing.

Retention and deletion

We retain information only as needed to provide the service and for governance, audit, security and legal purposes. Backup copies may remain until overwritten or expire under the applicable backup arrangements. Deleting an account may remove personal account data, but organisation-owned board, minute, audit and other governance records may remain where needed for legal, governance, security or audit reasons.

International processing

Aboardable and its providers may process information in Singapore, Japan and other provider locations. Hosting locations may expand geographically. Where required, we use appropriate safeguards for international transfers.

Children

Aboardable is not directed to children and does not make a specific minimum-age promise.
